YMCA SPG Hawker Site Consultation: Privacy Notice

This notice explains how YMCA St Paul’s Group (YMCA SPG) handles personal information collected during the community consultation about proposed new services at YMCA Hawker. It sits alongside our general privacy notice on our website, which continues to apply to everything else we do.

Who we are

What this consultation involves

We are seeking views from local people on proposed new services at YMCA Hawker, ahead of submitting a planning application. The consultation has two strands:

  • A community engagement survey, delivered by Beyond the Box CIC on our behalf, which does not collect names or contact details. A separate privacy notice is provided with that survey.
  • Direct representations to YMCA SPG, particularly from local residents and neighbours who may be impacted by the proposal. This notice covers that strand.

What information we collect from you

If you make a representation directly to us, we ask for:

  • Your name
  • Your postcode, to show you are local (optional)
  • Your view on the proposal (support, object or neutral) and any comments
  • Your email address, only if you want to receive project updates (optional)

Please do not include sensitive personal information (such as health, beliefs or ethnicity), or information that identifies other people, in your written comments.

Why we collect this information and our lawful basis

We collect this information so we can:

  • Understand local views on the proposal
  • Demonstrate to the local planning authority that we have consulted with people who may be impacted
  • Keep you updated about the project, if you have asked us to

Our lawful basis is legitimate interests (UK GDPR Article 6(1)(f)): progressing this planning application, including showing we have consulted local people. For the optional project updates list, we rely on your consent, which you can withdraw at any time.

Who we share this information with

Your view, along with your name and area, may be submitted to the local planning authority as part of our planning application. The planning authority handles this information under its own privacy notice and may publish representations as part of the planning process, in accordance with planning law.

We do not share your information with any other third parties.

How long we keep your information

  • Information identifying you is kept until the planning decision is made and any appeal period has passed, and then for a further 12 months, after which it is deleted.
  • After that point, we keep only pseudonymised and aggregated material, where individuals cannot be identified, for our own learning.
  • If you have asked for project updates, we will hold your email address until the project is complete, or you ask us to remove you, whichever comes first.

Your rights

Under data protection law you have the right to:

  • Be informed about how we use your information, which this notice does
  • Ask to see the information we hold about you
  • Ask us to correct or delete your information
  • Object to us using your information
  • Withdraw your consent to project updates at any time

Once a view has been submitted to the local planning authority, we may not be able to remove it from that process, although we can remove it from our own records.

You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
